Understanding IT ticket priorities
P1 – Critical
A critical service or major business operation may be severely disrupted, requiring immediate attention.
P2 – High
Important functionality is disrupted and requires prompt attention.
P3 – Medium
A limited service or workflow is affected, but normal operations may continue with some inconvenience.
P4 – Low
The issue has limited impact and can generally be handled through routine support processes.
Actual priority definitions, response targets and escalation rules vary between organizations. This tool uses a configurable sample matrix rather than any single vendor standard.
Impact vs. urgency
Impact, urgency and scope answer three different questions about the same ticket. Keeping them separate stops a loud report from outranking a quiet outage.
Impact
How much damage the issue does to users, services and business operations if it is not fixed.
Example: a payment system rejects every transaction. Nobody can take money, so revenue stops — that is high impact even for a five-minute fault.
Urgency
How quickly the issue needs attention, based on deadlines, risk of loss and how fast the damage grows.
Example: the same payment fault an hour before a payroll run is urgent; the identical fault on a Sunday night with no deadline is not.
Scope
How many people or parts of the organization are affected, which sets the size of the response team.
Example: one laptop with a broken screen is a single-user issue. Every desk in the finance floor failing to print is an entire-department issue.
Example tickets
These are illustrations, not fixed rules. Each one is scored by the same matrix the tool uses, so the priority shown is the priority the calculator would return for those selections.
| Issue | Impact | Urgency | Users | Priority |
|---|---|---|---|---|
| Company-wide email outageNobody in the company can send or receive email, so every team is blocked at once. | High impact | High urgency | Entire organization | P1 – Critical |
| Several users cannot access a business applicationA group of people cannot work in one system, but the rest of the business carries on. | Medium impact | Medium urgency | Multiple users | P2 – High |
| Payroll submission blocked by a server maintenance windowSerious if missed, but the window is known in advance — high impact does not automatically mean high urgency. | High impact | Low urgency | Multiple users | P2 – High |
| One user's keyboard has a faulty keyAnnoying for one person, easily worked around, and it can wait for routine support. | Low impact | Low urgency | One user | P4 – Low |
Frequently asked questions
What is an IT ticket priority?
An IT ticket priority indicates how urgently a support issue should be addressed, considering its impact and urgency. It helps a support team decide what to work on first and what response target to aim for.
What do P1, P2, P3, and P4 mean?
They represent priority levels from critical to low. P1 is critical, P2 is high, P3 is medium, and P4 is low. Exact definitions, response targets and escalation rules depend on your organization's support policy.
Is this tool based on ITIL?
This tool uses a sample impact-and-urgency scoring matrix. It is not a certified ITIL assessment and should be configured to match your organization's incident-management practices.
Can I use this tool for security incidents?
It can help document an initial issue, but suspected security incidents should follow your organization's dedicated security incident response and escalation procedures immediately. Do not delay reporting a suspected breach in order to complete this form.
Does this tool store my ticket details?
No. Every calculation runs in your browser. The page does not send your ticket to a server, save it to local storage, or include it in the page address, and nothing is written to analytics. Closing or reloading the tab discards it.
Can I customize the priority rules?
The initial release uses a sample matrix, and the scoring weights and thresholds are kept in one place so they can be changed. CoveScreen can adapt the matrix to match an existing service-level agreement or internal escalation policy.
